Subject: Slocan Park branch renovation — site visit follow-up & decisions needed To: Eric Johnstone (StellerVista) / Helen Amundsen (HG Insurance) — and project team From: Jake McFaddin, Prevail Solutions (on behalf of WSA Engineering) Hi Eric, Helen, Thank you for facilitating access today. The site visit was worthwhile to confirm the existing layout and how the proposed work fits the occupied branch. Below are the main observations and items we need your direction on before we finalize the Class C budget and update the invitation-to-bid package. INSURANCE AREA — LAYOUT & ENTRANCE • Relocation of the entrance door serving the insurance area appears feasible by field measurement, but we need confirmation that the door can be moved without reframing the commercial glass wall system and re-glazing the full storefront section. Please confirm with your glazier or original installer before we carry this in the tender documents. FLOORING • Request to use glue-down LVT (luxury vinyl plank), consistent with the Castlegar branch renovation, rather than carpet tile as shown on the current finish plans. Please confirm this change for all areas currently scheduled as carpet so drawings, ITB, and bids stay aligned. ELECTRICAL / SECURITY • There is a request to remove panic buttons at the existing desks. If that remains the intent, it must be called out in the electrical scope for bidders. Please confirm removal is acceptable from your security and institutional requirements (no bank/code restriction). HG INSURANCE — MILLWORK • HG has expressed a desire to match new cabinetry with the new StellerVista millwork for continuity through the building. We support that approach for pricing and procurement. DOORS, TRIM & FINISH CONFLICTS • We have conflicting direction on interior woodwork: some notes call for painting trim and doors throughout; other references indicate existing door faces, trim, and millwork to remain stained/black. Drawing sheet A-11 states existing doors and frames to be painted semi-gloss, with two doors factory finished, with no stain called out. Please issue a single finish direction for bidders. STELLERVISTA — MILLWORK & CASTLEGAR PRECEDENT • Cabinet drawings and supplier information from the Castlegar renovation are available and should be used to obtain accurate pricing and to repeat-order proven items (teller line, self-serve counter, coffee area). Please confirm any cabinetry or desk items you wish removed from scope to reduce cost. HVAC (SCOPE GAP IN CURRENT ITB) • The invitation to bid lists HVAC as an exclusion. Field/code review indicates at minimum: (1) exhaust fan in the server room (new internal secure room), and (2) supply air to the new HG insurance office. We recommend adding these items explicitly to the bid scope so contractors price them and the branch is not left with a gap at construction. STRUCTURAL POST AT TELLER LINE • Proposed plans (e.g. A-6) do not show an existing structural post that will remain in the open at the teller line. The post is currently large with millwork cladding. We expect it to remain; please confirm whether it can be reduced/wrapped as approximately a 10 in × 10 in column or accent element in the new teller layout. SELF-SERVE DESK — PANELS • Details on A-6 appear to show panels at the self-serve desk. Please confirm what these panels are (material, height, and purpose). FEATURE WALL / WC-1 • The ITB and plans reference a feature wall with TV bracket. Sheet A-10 describes wood panel accent (WC-1) used at Castlegar, but the new floor plans do not clearly show where WC-1 is applied. Please confirm whether the feature wall at the teller/lobby is WC-1 and whether WC-1 is used at any other location. Next steps on our side: we will incorporate your written responses into the Class C estimate assumptions and recommend addenda to the ITB and drawings as needed. A call or short written reply on the numbered items above would be appreciated. Regards, Jake McFaddin Prevail Solutions Inc. (on behalf of WSA Engineering)
